What You Will Do:

We are seeking a highly organized, proactive, and detail-oriented Executive Administrator to support our General & Administrative (G&A) leadership team. This role is essential in ensuring operational efficiency across Finance, Legal & Compliance, People & Culture, IT, and other corporate functions. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional communication skills, and possesses a high level of discretion.

Responsibilities will include:

  • Provide executive-level administrative support to G&A leaders (e.g., CFO, CHRO, General Counsel, etc.)
  • Manage complex calendars, coordinate meetings, and organize travel logistics (domestic and international)
  • Prepare presentations, reports, agendas, and meeting notes
  • Maintain confidentiality and handle sensitive information with discretion
  • Facilitate cross-functional communications and workflows across G&A departments
  • Track and follow up on action items and deadlines
  • Assist with budget tracking, vendor invoicing, and expense reporting
  • Support execution of strategic G&A initiatives and special projects
  • Maintain project timelines, organize documentation, and prepare progress reports
  • Identify and resolve operational bottlenecks in collaboration with department heads
  • Liaise with office management and IT to ensure team resources and tools are available and functioning

 

Who You Are:

  • 5+ years of executive administrative experience, preferably supporting G&A functions (finance, legal, HR, IT, etc.)
  • Excellent organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, JIRA, etc.)
  • Ability to handle confidential information with integrity and professionalism
  • Proven experience working independently and as a collaborative team member
  • Experience in a startup, tech, or high-growth environment preferred
  • Familiarity with budgeting, procurement, and compliance processes

The budget for this role is between $85,000 and $104,000, depending on experience and qualifications, with an annual bonus.

 

This role is open to candidates located in Chicago as well.
